Description
Somewhere between the proposal and the last dance sits about a thousand small decisions. Deposits, dietary requirements, whose aunt cannot sit next to whose uncle, what time the flowers arrive, who is holding the rings. Most of it is not difficult — it is just a lot, and it lives in seventeen different places: a notes app, three email threads, a group chat, and the back of an envelope.
This Wedding Planning Binder puts all of it on paper, in one place, in the order you will actually need it. Forty printable pages, completely undated, so it works whether your wedding is in four months or two years — and whether you are planning a sixty-guest garden ceremony or a full three-hundred-seat reception.
What’s inside — all 40 pages
Getting started (pages 1–5). A designed cover, a welcome page with full printing instructions and your personal-use licence, a binder setup guide that splits the product into five tabbed sections, an Our Wedding at a Glance sheet holding every fact a vendor will ask you for, and a Vision & Style page with a six-swatch colour palette, style notes, and space for the things you definitely want and the things you are happy to skip.
Timeline & checklists (pages 6–11). A 12-month countdown timeline with a focus theme and real tasks written into every month, then five stage checklists you tick your way through: 9-month (the big bookings — venue, photographer, caterer, florist, band), 6-month (save-the-dates, hair and makeup trials, rings, tastings, readings, transport), 3-month (invitations out, menu locked, first fitting, vows, shot list), 1-month (final headcount, dietary requirements, final balances, tip envelopes, delegation) and week-of (handover, rehearsal, and rest). Every item is a specific, real task — not blank filler lines — with spare rows at the end for your own additions.
Money (pages 12–14). A master budget summary with fifteen pre-labelled categories and estimated / actual / paid / balance columns, a line-item breakdown sheet for drilling into any one category, and a payment and deposit tracker with total due, deposit, date paid, balance, due date and method. There is also a short list of the costs people most often leave out of a first draft budget — service charges, corkage, delivery, overtime, vendor meals.
Guests & stationery (pages 15–18). A guest list master grid (name, side, party size, invited, RSVP, meal, notes), a separate address collection sheet, an RSVP tracker with running totals across the top, and a stationery tracker listing sixteen printed pieces from save-the-dates to thank-you cards, with ordered / proofed / received columns and a proofreading checklist.
Vendors (pages 19–22). A vendor contact directory pre-filled with sixteen roles and an arrival-time column — the one page you will photograph and send to everyone. A three-way vendor comparison worksheet covering price, inclusions, hours, travel fees, deposits, cancellation terms and availability. A contract and payment log with a read-before-you-sign checklist. And a venue visit worksheet with eighteen printed questions to ask while you are standing there, because every venue blurs into the next one by the third viewing.
The details (pages 23–35). Catering and menu planner with a dietary tally · cake and dessert planner with a tier-by-tier grid and a sketch box · florals planner covering personal flowers, ceremony and reception with quantities and costs · a photography shot list of more than fifty specific shots grouped by getting-ready, ceremony, family, portraits and reception · a music planner with twelve key moments plus must-play and do-not-play lists · wedding party roles with a delegation list · attire and fittings tracker · beauty prep countdown and morning-of chair schedule · ceremony order of service with readings · reception timeline with speech order · seating chart worksheet · a table assignment grid that lays out six numbered tables per sheet · and a rehearsal dinner planner.
The day and after (pages 36–40). An hour-by-hour day-of schedule to hand to everyone with a job, a six-category emergency kit checklist, a gift and thank-you tracker, a honeymoon planner covering bookings and documents, and a packing list.
Who it’s for
Couples planning their own wedding without a full-time planner. Anyone who thinks better on paper than in an app. Brides and grooms who want one physical binder they can hand to a partner, a parent or a maid of honour and say “this page is yours now.” It also makes a genuinely useful engagement gift — more so than another photo frame.
How to use it
Print the set, put it in a two- or four-ring binder with five tabbed dividers, and follow the section order on page 3. Work backwards from your date using the 12-month timeline, then tick your way down each stage checklist. Print several extra copies of the guest list, address sheet, RSVP tracker, vendor comparison, venue worksheet and table assignment grid before you start — those are the pages that fill up fastest. Update the payment tracker the same day money leaves your account, and book one 30-minute planning session a week rather than long panicked evenings.
Formats & what you receive
Two ready-to-print PDF bundles — US Letter (8.5 × 11 in) and A4 (210 × 297 mm) — plus every one of the 40 pages as an individual PDF in both sizes, so you can reprint a single grid without printing the whole binder. Print at 100% scale or fit-to-page with borderless printing off. Designed to look just as good in greyscale as in colour, on ordinary home-printer paper.

Frequently asked questions
Is this dated to a particular year?
No. Every page is undated. You write your own date on the At a Glance page and count backwards using the 12-month timeline, so the binder works for any wedding date and never expires.
What if we have less than a year to plan?
The timeline page includes guidance for shorter runways: compress the top of the list rather than the bottom, and book the venue, photographer and caterer first because those fill up furthest ahead. Everything from stationery onwards works comfortably on a shorter timeline.
Can I print only some of the pages?
Yes. Because every page is supplied as an individual PDF as well as in the full bundle, you can print exactly the pages you need — and print five copies of the guest list without printing anything else.
Will it work on my printer and my paper size?
Both US Letter and A4 versions are included, so choose whichever matches your printer. Any home inkjet or laser printer handles it. 90–120 gsm (24–32 lb) paper holds up best to pen and repeated handling, but standard copy paper is fine.
Is this an editable or fillable file?
No — this is a print-and-write binder, designed to be filled in by hand. That is deliberate: the grids, tick boxes and note areas are sized for a pen, and a physical binder is far easier to hand to a partner or a parent than a shared file.
Can I use it for a client’s wedding or resell it?
The licence is personal use only. You may print as many copies as you like for your own wedding and share printed pages with your partner, family or wedding party. You may not resell, share or redistribute the files, sell printed copies, or use the design in another product.
